Terms of service

The terms under which practices use MedFi. Written plainly, because a serious product should be accountable in plain language.

1. Who these terms apply to

These terms govern the use of MedFi by medical practices and their staff in Zimbabwe. By creating an account or using MedFi on behalf of a practice, the practice agrees to these terms on its own behalf and on behalf of its users.

2. What MedFi is and is not

MedFi is software-as-a-service that runs the operational side of a medical practice. It is not a medical device, it does not provide medical advice, and it does not replace clinical judgement. The practice remains responsible for the clinical, billing and compliance decisions it makes using the platform.

3. Your role as data controller

The practice is the data controller of patient and operational data it enters into MedFi. The practice is responsible for its own obligations under the Cyber and Data Protection Act [Chapter 12:07], Statutory Instrument 155 of 2024, and any other applicable law — including notification, licensing, DPO appointment, consent capture and breach response. AfrIgnite Smart Solutions acts as a data processor on the practice's instructions under written agreement.

4. Accounts, access and acceptable use

The practice is responsible for the accounts it creates and the access it grants its staff. Access is role-based. You must not share credentials, and you must remove access promptly when staff leave. You agree not to use MedFi to process data unlawfully, and not to attempt to access other practices' data.

5. Fees, billing and suspension

Fees are set out in the written quote or the pricing page applicable to your plan. Setup fees are billed once; monthly fees are billed in advance. If a subscription is overdue we may suspend access after reasonable notice — your data remains available for export throughout any suspension.

6. Your data and export

Your data is yours. You may export it on request at any time. On termination we provide a full export and then delete your tenant data on a defined schedule, unless retention is required by law or an ongoing regulator matter.

7. Confidentiality and security

We protect data with tenant isolation, role-based access, encryption, tested backups and audit trails. We do not sell patient data and we do not use patient data to train models. Security commitments are set out in our privacy and data-handling statement.

8. Support and service levels

Support is provided by the team in Harare per the tier of your plan. We aim to acknowledge support requests within one business day. Material service incidents are communicated to affected practices directly.

9. Changes to these terms

We may update these terms as the product and the law evolve. We will notify affected practices of material changes in advance. Continued use after a change takes effect constitutes acceptance.
